INTERA Incorporated is seeking a detail-oriented Project Administrator to support our Water Resources and Supply line of business in our Austin, Texas office. This role will provide direct support to project managers and technical teams on geologic, hydrogeologic, groundwater modeling, and water resource engineering projects for our Texas Groundwater team. The Project Administrator will assist with project setup, tracking, documentation, and internal workflows while helping ensure compliance with company standards and contractual requirements. This role is well-suited for a project management and administration professional who understands that successful project delivery depends on strong organization, clear communication, effective collaboration, accurate documentation, and proactive coordination.
The Project Administrator plays an important role in maintaining consistency, accuracy, and efficiency across multiple technical consulting projects. This position requires strong organizational skills, attention to detail, sound judgment, and the ability to manage competing priorities in a fast-paced professional services environment. The successful candidate will have strong project management skills, including scheduling, budget tracking, documentation management, invoicing support, internal reporting, and process coordination. Key Responsibilities
- Provide comprehensive administrative and coordination support to project managers in daily project operations.
- Assist with tracking project schedules, budgets, task progress, milestones, and deadlines; prepare internal status updates as needed.
- Coordinate project documentation and deliverables, including tracking drafts, review cycles, submittal schedules, and final deliverable distribution.
- Maintain organized project files and records in accordance with company standards, including timely archiving of final deliverables in coordination with the technical editor and project team.
- Support invoice preparation by coordinating backup documentation, tracking billable tasks, and working with accounting staff to help ensure timely and accurate billing.
- Assist with administrative aspects of contracts, task orders, amendments, and subconsultant agreements; help track contract requirements and deliverables.
- Support project meeting coordination, including scheduling, logistics, agenda preparation, meeting materials, and follow-up documentation.
- Support internal QA/QC processes by helping ensure project documentation is complete, consistent, accurate, and compliant with internal procedures.
Required Qualifications
- Associate’s or bachelor’s degree in Business Administration, Project Management, Environmental Science, Engineering, or a related field. Equivalent professional experience may be considered.
- 2–5 years of experience providing project management, project coordination, or administrative support in a consulting, engineering, environmental, or professional services environment
- Demonstrated experience supporting project managers with scheduling, task tracking, documentation, and project coordination.
- Strong organizational and time-management skills, with the ability to manage multiple projects, priorities, and deadlines.
- High attention to detail, with a commitment to accuracy, consistency, and quality
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams; experience with project management or document management systems is a plus.
- Strong written and verbal communication skills, with the ability to coordinate effectively across project teams.
- Ability to work independently while collaborating effectively with project managers and technical staff across multiple teams.
Preferred Qualifications
- Background in engineering, environmental, or scientific consulting
- Knowledge of project billing processes, time-and-expense tracking, and cost control
- Ability to use AI tools to improve efficiency, streamline workflows, or support project administration tasks
- Exposure to regulatory-driven or agency-focused projects
- Understanding of QA/QC procedures for technical or regulatory deliverables
- Interest in professional growth in project coordination, project management, or operations
